We are seeking a detail-oriented and organized Remote Office Assistant to provide administrative support to our distributed team. This fully remote position requires excellent communication skills, self-motivation, and the ability to manage multiple tasks efficiently in a virtual environment.

Key Responsibilities

Administrative Support

• Manage calendars, schedule appointments, and coordinate virtual meetings across time zones
• Handle email correspondence and respond to inquiries professionally
• Prepare documents, reports, presentations, and spreadsheets
• Maintain digital filing systems and ensure document organization
• Data entry and database management

Communication & Coordination

• Serve as the first point of contact for internal and external communications
• Coordinate with team members, clients, and vendors via email, phone, and video calls
• Facilitate virtual meetings including scheduling, sending invites, and preparing agendas
• Take meeting minutes and distribute action items

Operational Tasks

• Process invoices, expense reports, and basic bookkeeping tasks
• Assist with onboarding new team members (documentation, account setup)
• Manage inventory of office supplies and coordinate deliveries to remote staff
• Support project management activities and track deadlines
• Assist with travel arrangements and itinerary planning

Technology & Tools

• Proficiency with video conferencing platforms (Zoom, Microsoft Teams, Google Meet)
• Manage cloud-based collaboration tools (Google Workspace, Microsoft 365, Slack)
• Troubleshoot basic technical issues and coordinate IT support when needed

Required Qualifications

• High school diploma or equivalent (Associate's or Bachelor's degree preferred)
• 1-2 years of administrative or office support experience
• Proven experience working remotely or in a virtual team environment
• Proficiency in Microsoft Office Suite or Google Workspace
• Excellent written and verbal communication skills
• Strong organizational and time management abilities
• Reliable high-speed internet connection and dedicated workspace
• Ability to work independently with minimal supervision

Preferred Qualifications

• Experience with project management tools (Asana, Trello, Monday.com, Notion)
