Receptionist / Administrative Assistant – Job Description

The Receptionist / Administrative Assistant is responsible for providing professional front-desk reception services while supporting the day-to-day administrative operations of the company. This role requires excellent communication, organizational, and customer service skills to ensure smooth office operations.

Key Responsibilities:

• Welcome and assist visitors, clients, and guests in a professional manner.
• Answer, screen, and direct incoming telephone calls.
• Manage incoming and outgoing emails, courier services, and office correspondence.
• Maintain reception and office areas in a clean and organized condition.
• Schedule meetings, appointments, and conference room bookings.
• Prepare letters, reports, and other administrative documents.
• Maintain filing systems and organize company records.
• Assist with HR administrative tasks, including maintaining employee files and coordinating interviews.
• Monitor and order office supplies and maintain inventory.
• Coordinate with vendors, suppliers, and service providers.
• Support management with administrative tasks and special projects.
• Handle confidential information with professionalism and discretion.
• Perform other duties assigned by management.

Qualifications:

• Bachelor's degree or diploma in Business Administration or a related field.
• Minimum 1–2 years of experience as a Receptionist or Administrative Assistant.
• Proficient in Microsoft Office (Word, Excel, Outlook, and PowerPoint).
• Excellent verbal and written communication skills in English.
• Strong organizational and time-management skills.
• Professional appearance and positive attitude.
• Ability to multitask and work under pressure.
• Knowledge of office equipment and administrative procedures.

Preferred Skills:

• Experience in the UAE is an advantage.
• Familiarity with document management and office coordination.
• Strong customer service and interpersonal skills.
• Ability to maintain confidentiality and work independently.

Reports To: HR/Admin Manager or General Manager

Pay: AED2,000.00 - AED2,500.00 per month
