Position Overview:

We are seeking a dedicated and detail-oriented Administrative Assistant / Coordinator to join our team. This role is crucial in ensuring smooth coordination between our office team, clients, and supervisors, while maintaining efficient administrative and operational processes.

Key ResponsibilitiesSales & Performance Coordination

• Prepare sales reports and coordinate with sales staff for all projects.
• Prepare and analyze business reviews for clients to monitor sales team performance.
• Advise the sales team on targets, achievements, and performance metrics.

Staff, Client Coordination & Administrative Support

• Coordinate with sales staff, office team, clients, and travel retail officers to ensure compliance with required documentation and procedures.
• Maintain and monitor staff records, ensuring all documents remain valid and up to date.
• Oversee attendance tracking, assign work schedules or shifts, and communicate updates to staff.
• Coordinate interviews and assessments between clients and candidates.
• Assist with job postings, recruitment, and applicant screening.
• Handle client inquiries and maintain strong professional relationships.
• Generate reports related to staff scheduling, attendance, and operations.
• Provide general administrative and operational support to the team.

Compliance & Documentation

• Ensure compliance with all applicable rules, regulations, and documentation requirements set by relevant authorities, minimizing delays and avoiding penalties.

Qualifications

• Bachelor's degree in Human Resources, Business Administration, or a related field.
• Strong organizational and multitasking skills.
• Excellent written and verbal communication skills.
• Proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook).
• Ability to work both independently and collaboratively in a team environment.
• High level of attention to detail and accuracy.
• Previous experience in an administrative, coordination, recruitment, or operations role is an advantage but not required.

Important Employment Requirement

• All shortlisted candidates will be required to complete a mandatory trial and training period of at least two (2) weeks before visa processing can commence.
• The trial/training period is part of our evaluation process to assess performance, suitability for the role, and overall fit within the team.

Job Types: Full-time, Permanent, Contract

Pay: AED3,500.00 per month
