Job Summary

We are looking for a professional, organized, and responsible Front Office & HR Assistant to support our daily reception, administrative, and HR activities. The ideal candidate should have good communication skills, basic knowledge of UAE HR procedures, and the ability to handle confidential employee information professionally.

Key Responsibilities

Front Office & Administration

• Manage the reception area and welcome visitors, clients, and employees professionally.
• Answer and direct incoming calls and emails.
• Maintain visitor records and coordinate appointments.
• Handle incoming and outgoing correspondence and documents.
• Maintain proper filing and documentation systems.
• Assist with office supplies, stationery, and general administrative requirements.
• Coordinate with management, employees, suppliers, and external parties as required.
• Prepare basic letters, reports, and office documents.

HR Responsibilities

• Assist with recruitment, interview scheduling, and candidate coordination.
• Prepare and maintain employee files and HR records.
• Assist with joining formalities and onboarding of new employees.
• Prepare offer letters, appointment letters, salary certificates, and other HR documents.
• Maintain employee attendance, leave, and timesheet records.
• Assist with payroll-related documentation and salary information.
• Support visa, Emirates ID, medical, insurance, and other employee documentation processes.
• Maintain records of visa and document expiry dates and provide timely reminders.
• Assist in preparing employee-related letters, warnings, confirmations, and other HR communications.
• Coordinate with employees regarding HR policies, documents, and company procedures.
• Maintain confidentiality of employee and company information.
• Perform other HR and administrative duties assigned by management.

Requirements

• Bachelor's degree
• 2–3 years of experience in HR, administration, front office, or a similar role.
• UAE experienced.
• Good knowledge of MS Office, Word, and Excel.
• Good written and verbal communication skills in English.
• Knowledge of UAE labour/HR procedures and visa processes is preferred.
• Professional appearance and positive attitude.
• Good organizational and time-management skills.
• Ability to multitask and work under pressure.
• Strong attention to detail and confidentiality.

Salary & Benefits
