About the Role
A Palm Beach yacht brokerage is seeking a highly organized and discreet Executive Assistant to provide direct support to a Managing Partner. This is a hands-on role for a polished professional who thrives in a fast-paced environment, anticipates needs before they arise, and takes pride in keeping operations running seamlessly behind the scenes.
This position is 30-40 hours per week. Based in-office in Jupiter, FL, and requires the ability to travel as needed. The ideal candidate is someone with experience/knowledge in the yachting industry, who is a self-starter and can manage competing priorities with precision, professionalism, and absolute confidentiality.
Responsibilities
- Calendar & Schedule Management — Manage a dynamic calendar, coordinate appointments, and protect priorities.
- Email Management & Correspondence — Monitor and draft professional correspondence on behalf of business.
- Travel Arrangements — Plan and coordinate travel, including itineraries and logistics.
- Meeting Coordination — Schedule, prepare for, and follow up on internal and client meetings.
- Document Preparation — Draft, format, and proofread documents, presentations, and reports.
- Project Management — Track ongoing projects, deadlines, and deliverables to ensure timely completion.
- Vendor Management — Serve as point of contact for vendors and service providers.
- Confidential File Management — Maintain and organize sensitive files with the utmost discretion.
- Client Relations — Provide professional, high-touch communication and support to clients.
